Access Data and Hosting

You can visit our website without providing personal information. Each time you access the website, however, the web server automatically stores a so-called server log file.

This includes:

  • Browser type and version
  • Operating system used
  • Referrer URL
  • Hostname of the accessing device
  • Time of the server request
  • IP address
  • Pages visited
  • Interest in content

These access data are collected solely to ensure the functionality of the website and serve to optimize the website and ensure the security of our IT systems (e.g. detection of attacks). Data collection is based on Art. 6 (1) sentence 1 lit. f GDPR, reflecting our legitimate interest in the correct presentation of our offering. No analysis of the data for marketing purposes takes place in this context.

Logfile information is stored for a maximum of 7 days for security reasons (e.g. to clarify cases of misuse or fraud) and then deleted. Data whose continued storage is required as evidence are excluded from deletion until the incident is fully resolved.

Hosting Services Provided by a Third Party

We use hosting services provided by Oliv Newton GmbH. These services include infrastructure and platform services, computing capacity, storage space and database services, email dispatch, security services and technical maintenance, which we use for the operation of this online offering.

In doing so, we and our hosting provider process inventory data, contact data, content data, contract data, usage data as well as meta and communication data of customers, prospects and visitors of this online offering on the basis of our legitimate interest in an efficient and secure provision of this online offering pursuant to Art. 6 (1) lit. f GDPR in conjunction with Art. 28 GDPR (conclusion of a data processing agreement).

This service provider is located in a country within the European Union or the European Economic Area.

Notice Regarding Data Transfers to the USA and Other Third Countries

We use tools provided by companies based in the USA or other third countries that are not considered secure under data protection law. When these tools are active, your personal data may be transferred to and processed in such third countries. Please note that these countries may not guarantee a level of data protection comparable to that in the EU. For example, U.S. companies may be obliged to hand over personal data to security authorities without allowing you, as the data subject, any legal recourse. The above data are deleted once they are no longer required for achieving the purpose, i.e., when the respective conversation with the user is finished. We consider the conversation finished when the circumstances indicate that the matter has been conclusively resolved.

Newsletter Subscription 

If you would like to receive regular information about our offerings, you can subscribe to our newsletter. The only mandatory information required for sending the newsletter is your email address. Any additional information is voluntary and used to address you personally.

We use a so-called double opt-in procedure. This means we will only send you a newsletter after you have explicitly confirmed that you consent to receiving newsletters. We will then send a confirmation email asking you to confirm your subscription by clicking a link. By activating the confirmation link, you give us your consent to use your personal data pursuant to Art. 6 (1) lit. a GDPR.

When subscribing, we store:

  • The date and time of subscription

The data collected for newsletter subscription are used exclusively for newsletter communication. Newsletter Distribution via MailChimp

Newsletters are sent via the provider “MailChimp”, a service of The Rocket Science Group, LLC, 675 Ponce de Leon Ave NE Suite 5000, Atlanta, GA 30308 USA.

MailChimp is a service that organizes newsletter distribution. The data you provide for newsletter subscription are stored on MailChimp servers in the USA.

The service provider is used on the basis of our legitimate interest pursuant to Art. 6 (1) lit. f GDPR and a data processing agreement under Art. 28 (3) sentence 1 GDPR.

The data you have provided remain stored until you unsubscribe. After unsubscribing, they are removed from the newsletter distribution list. Data stored for other purposes remain unaffected.

MailChimp analyzes recipient behavior via tracking (e.g. how many newsletters were opened). If you do not wish to be tracked, you must unsubscribe from the newsletter. 

Registration and Login Area 

You may register on our website by providing personal data to create a profile. The data entered into an input form are transmitted to us and stored. They are not passed on to third parties.

During registration, the following data are collected:

  • Username
  • Password
  • Email address
  • First and last name

During login, the following data are collected:

  • Username
  • Password

Additionally, the following data are stored at login:

  • User’s IP address
  • Date and time of login

You may also provide voluntary information (e.g. profile description). Required fields are marked accordingly. Legal basis for processing is your consent under Art. 6 (1) lit. a GDPR or Art. 6 (1) lit. b GDPR if processing is necessary for providing services.

Data are deleted once they are no longer required for fulfilling their purpose. 

Cookies 

When accessing this website, session cookies are stored on your device for the duration of your visit. A cookie is a small file stored on your computer for the purpose of using our website more comfortably and effectively.

Use of Google (Universal) Analytics

Google Analytics uses cookies to analyze your use of our website. The generated information (visit times, referring sources, system configuration details, provider information, including your shortened IP address) is transmitted to a Google server in the USA and stored there.

Google uses this data to evaluate website usage, compile reports, and provide additional services related to website and internet usage. Use of Google reCAPTCHA 

To secure our website, we use Google reCAPTCHA, operated in Europe by Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland. reCAPTCHA analyzes user behavior via a JavaScript element loaded on the page.

The following data are collected:

  • Previously visited websites (referrer URL)
  • IP address
  • Operating system used
  • Cookies
  • Scroll and click behavior
  • Date and language settings
  • Screen resolution

Analysis occurs even before you check the “I am not a robot” box. A score is generated to determine whether the visitor is human or an automated system (e.g. bots). This protects users from potential cybercrime.

We use reCAPTCHA based on our legitimate interest (Art. 6 (1) lit. f GDPR) to prevent fraudulent activities.

Ticket Sales via Eventbrite

We use Eventbrite, Inc., 155 5th Street, Floor 7, San Francisco, CA 94103, USA, to manage ticket sales, capture participant data and process payments. Legal basis: Art. 6 (1) lit. b and c GDPR. The use of Eventbrite serves the purpose of entering into and performing a contract with us.

Roommate Program via eversports

For our Roommate Program, we use the booking platform eversports to make our offering bookable, to record your participant data, and to enable billing. The provider of the eversports platform is eversports GmbH, Jakov-Lind-Straße 13 / 5th floor, 1020 Vienna (Austria).

To acquire a membership in our Roommate Program, you must register once with eversports using the data required for this purpose. You can access the eversports platform via our website. We only collect, store, and process the information that is necessary within the scope of your booking.

The legal basis for this is Art. 6 (1) lit. b (performance of a contract) and lit. c (statutory retention obligations) GDPR, i.e. you provide us with the data on the basis of the respective contractual relationship. The use of eversports serves the purpose of entering into and performing a contract with us. 

Vimeo and Video Embedding 

Our website uses plugins from the video portal Vimeo. The provider is Vimeo Inc., 555 West 18th Street, New York, New York 10011, USA. When you visit one of our pages equipped with a Vimeo plugin, a connection to the servers of Vimeo is established. The Vimeo server receives information about which of our pages you have visited as well as your IP address—regardless of whether you are logged in to Vimeo or whether you have an account with Vimeo. The information collected is transmitted to Vimeo servers in the USA. If you are logged into your Vimeo account, Vimeo can assign your browsing behavior directly to your personal profile. To prevent this, you must log out of your Vimeo account.

The use of Vimeo is based on our legitimate interest (Art. 6 (1) lit. f GDPR) in providing an appealing presentation of our online offerings. 

Storage Period  

Unless a more specific storage period is stated in this Privacy Policy, your personal data remain with us until the purpose for processing ceases. If you request deletion or withdraw consent, your data will be deleted unless legal retention obligations (e.g. tax or commercial law) require otherwise. In such cases, data are deleted once the retention periods expire. 

Security Measures 

We take appropriate technical and organizational measures pursuant to Art. 32 GDPR to ensure a level of protection appropriate to the risk. 

Cooperation with Processors and Third Parties  

If we disclose or transmit data to other persons or companies (processors or third parties) or otherwise grant them access, this occurs only on the basis of legal permission (e.g. if transmission is necessary for contract performance under Art. 6 (1) lit. b GDPR), your consent, legal obligations, or our legitimate interests (e.g. using service providers such as web hosts).

If third parties are commissioned to process data under a data processing agreement, this is done pursuant to Art. 28 GDPR.
